Terms & Conditions

By using RoutineOS you agree to the terms below. Back to home.

1. Purpose of the system

RoutineOS is an operational synchronisation platform. It provides digital routine cards, department task boards, break and short-staff recording, shift handover information and daily performance reports so teams on site know what is being done, by whom, and what still needs attention.

2. Definitions

SIMPLionEX operates the platform and approves client workspaces. Company administrators sign in with email and manage departments, accounts, tasks and site links for their company. Managers (coordinators) configure routines, monitor boards and review reports. Operators sign in with a username and PIN to carry out and record their work.

3. Scope of use

The system is provided solely for planning, recording and reviewing operational work. It must not be used to store unrelated personal or sensitive information.

4. Workspace approval

Workspaces are created only after SIMPLionEX reviews and approves a request. SIMPLionEX may decline, suspend or close a workspace that breaches these terms or is no longer active.

5. Data controller & processor

The client company is the data controller for its staff's data entered into RoutineOS. SIMPLionEX acts as data processor and processes that data only to provide the service. The client is responsible for having a lawful basis for the processing and for informing its staff.

6. Site link security

Each site has a unique link used by shared terminals. The client must restrict access to devices showing this link and rotate the link from the administration area if it is lost, shared inappropriately or suspected to be compromised.

7. User responsibilities

Users must keep their PIN or password confidential, must not share accounts, must record work accurately (including reasons for blocked or incomplete tasks), and must sign out of shared terminals when finished.

8. Administrator & manager obligations

Administrators manage the account lifecycle, remove access promptly when people leave, and keep departments and routines up to date. Managers are responsible for reviewing alerts, staffing levels and reports.

9. Records & audit history

Task changes, breaks, staffing periods and sign-ins are recorded for audit purposes. Removed accounts and items are deactivated rather than deleted so history remains accurate.

10. Not a safety system

RoutineOS supports coordination but does not replace statutory procedures, risk assessments, permits to work, supervision or emergency arrangements. Responsibility for safe operations remains with the client.

11. Availability

The service is provided on a best-effort basis and may be interrupted for maintenance or reasons outside our control. Clients should keep a fallback procedure for critical routines.

12. Changes

Features and these terms may change. Material changes will be communicated to company administrators.

13. Intellectual property

The RoutineOS and SIMPLionEX names, logo, software, design and documentation are the property of SIMPLionEX. © 2026 SIMPLionEX. All rights reserved. Copying, reverse-engineering or redistribution without written permission is prohibited.

14. Limitation of liability

The system is provided "as is" without warranty. To the fullest extent permitted by law, SIMPLionEX is not liable for indirect loss, lost production, or penalties arising from use of, reliance on, or unavailability of the system.

15. Contact & data requests

16. Governing law

These terms are governed by the laws of England and Wales.
